By salon owners' experience, 15-20% of clients skip their appointment when nobody reminds them. Everything you put into that client (the ad, the call, the prepared chair, the materials, an hour you could not sell to someone else) is worth roughly 500 to 2000 RSD per empty slot. Multiply by a few no-shows a week and you feel it at the end of the month.
A reminder before the visit solves this. Channels differ a lot in cost, in how many clients actually read them, and in how much work they take from you. Below we go through each one, and at the end there is a sending schedule you can use in any reminder app.
In short: podsetnik or potsetnik?
Both spellings turn up, but standard Serbian writes "podsetnik" (from the verb "podsetiti", to remind). "Potsetnik" is mostly a slip in speech and messages, and it is best avoided in official texts.
Why clients do not show up (and why reminders work)
Most no-shows are not malicious. The client booked a few weeks ago, their schedule changed, and your message sank into the chat history. Some forget, some change their minds and feel awkward cancelling, and some do not know how to reschedule without calling.
A well-built reminder covers all three. With the time and address it helps the person who forgot. With a one-tap button to confirm, reschedule or cancel it helps the person who changed their mind too, since cancelling gets easier than not showing up. A cancelled slot can still be filled. An empty chair cannot.
SMS: expensive and often lost
SMS is the oldest channel and many people still use it because it asks nothing of the client. Sending goes through SMS aggregators, companies with contracts with mobile operators that sell messages in bundles or one by one. The usual price is around 5-8 RSD per message.
The math: two reminders per appointment and 50 clients a week make 100 messages, or 500-800 RSD a week. Per month that is 2000-3200 RSD on reminders alone, and it grows with every new client.
The second problem is reliability. Message length is limited, there is no button, and most people skim messages from unknown senders. The client cannot answer with one tap and has to call or text. SMS mostly reduces forgetting, and last-minute cancellations remain.
Viber reminders
Almost everyone in Serbia has Viber, and that is its main advantage. The message lands in an app people open every day.
The drawbacks are practical. To message on behalf of a salon you need a Viber business account, and it is paid, either as a subscription or per message. Verification and connecting it to a booking system take time and technical know-how. A message from an unknown business account often looks like advertising, so clients ignore or block it.
Agendo has neither Viber nor SMS for now. Both are planned for later, for those who want them despite the cost.
Email: ignored in beauty
Email is almost free, but in the beauty industry it is read poorly. A typical open rate is 15-20%, and only 2-3% of recipients click a link in the message. Most people reply to email hours later, if at all.
That makes email good for service messages: booking confirmation, receipt, service description, preparation instructions. It is poor for a "see you in 2 hours" reminder, because the letter will be read tomorrow. You cannot save a 2 pm appointment with a message opened at 6 pm.
Telegram bot: free and it works
Telegram is the channel to build on here. The client needs Telegram and has to press Start once on the salon's bot. After that the bot sends them personal messages, free and with no cap on volume. There is no price per message, no bundles and no aggregator contract.
One reminder looks like this. The day before the visit, the client gets a message with the service name, date, time, the specialist's name and the salon address. Two hours before, a short message arrives with three buttons: "Dolazim" (coming), "Pomeri" (reschedule) and "Otkaži" (cancel). After one tap the salon knows where it stands, and a slot the client cancels at that point can still be offered to someone else.
The limit is plain: a client without Telegram, or one who will not press Start, gets nothing. So this channel should not be the only one.
Web push notifications
Web push is a notification that lands directly on a phone or computer, like any other notification. The client installs nothing and only has to allow notifications in the browser, once, on the booking page.
It works in Chrome, Edge and Firefox, and on Android phones. iPhone is different: iOS supports web push only if the page is added to the home screen as a PWA. Many clients never do that, so on iPhone this channel often stays inactive. For those clients Telegram is more reliable.
Push costs nothing per message and needs no separate account from the client. There is no subscription and no limit.
How this works in Agendo
In Agendo, reminders are free, both Telegram and web push. There is no per-message charge, no bundles and no cap on the number of clients. Viber, SMS and email do not exist in the first version; Viber and SMS are planned.
The client picks the channel. When they book through a link, the widget or the Telegram bot @agendo_chatbot, they are offered reminders via Telegram or as web push, and they take whichever suits them. The salon does not configure this client by client.
The reminder text comes from a template that you write once in one language. Agendo automatically translates it into three languages and sends it in the one the client uses. That helps in cities with a steady flow of tourists and foreigners: the message arrives in Serbian, Russian or English with no manual translation.
Reminders go out on a set schedule, 24 hours and 2 hours before the visit, and the last one carries the "Dolazim", "Pomeri" and "Otkaži" buttons. The client answers with one tap, and you do not have to call anyone.
Practical advice: when and how many reminders to send
Two reminders are enough. Make the first one, 24 hours ahead, plain text: service, time, address. The client should get the appointment into their head, and if they cannot come, they have enough time to say so. Make the second one, 2 hours ahead, carry the confirmation button. By then the client knows whether they are making it, and you can still fill the slot if they cancel.
Three or four messages are too many. By the third, some clients start to see it as spam, and by the fourth they switch notifications off, so the channel is gone for next time too. The same goes for long messages. Put in the specialist's name, the time and the address, with no ads or promotions.
Track one number: how many clients tapped "Otkaži" or "Pomeri" in the last two hours. Each of those taps is a no-show that did not happen.
